1.  To be the principal person to collect rent from anybody wishing to pay Loveitts.

2.  To assist in the administration of residential lettings.

3.  To create and arrange viewings for prospective tenants.

4.  To promote and arrange viewings and valuations of properties.

5.  To create valuation and inspection opportunities.

6.  Dealing with personal telephone, written and e-mail enquiries from prospective tenants and landlords.

7.  Facilitate lettings by negotiation between Landlords and Tenants on existing tenancies.

8.  Produce legal documents, contract packs and invoices for the department.

9.  Provide assistance for any maintenance matters, arrange property inspections, manage diaries and assist with scheduling where required.

An opportunity has arisen for a full-time Property Management Administrator/Credit Controller to join our busy team in Coventry.  The ideal candidate will be a strong administrator, excellent communicator both verbal and written and will have experience in a similar role.

Duties to include:

1. To collect rent and service charge arrears and outstanding fee invoices in accordance with current legislation, client instructions and company policy.
2. To serve appropriate notices for solicitors' action where warranted.
3. To reduce the level of former tenant arrears and to assist in the prevention of such incidents occurring.
4. To recover the outstanding sums due from former tenants, Leaseholders and guarantors, referring such cases for court or bailiff action where necessary.
5. To liaise with the Dispute Service as necessary.
6. To maintain any necessary records in order to provide structured reports on credit control to Loveitts' Directors and clients.
7. Writing/typing of correspondence.
8. Answering general telephone call enquiries.
9. Instruction of contractors for minor works.
10. Chasing of contractors to complete works or supply quotations.
11. Supervision of Property management deadlines.
12. Produce Property Management reports.
13. Maintaining/updating the Property management software, spreadsheets and databases.
14. General administrative duties.

We are seeking a full-time Commercial Property Manager with ideally at least 3 years' experience in property Management.  Based in Coventry but to cover Warwickshire, Worcestershire and the West Midlands.

The successful candidate will take a role on existing and new projects while working with the other members of the Commercial Team to develop and promote the services offered by Loveitts Limited.

Primary responsibilities include:

- Provide property management and support services to landlords and tenants.

- Carry out property inspections.

-  Liaising with contractors, suppliers or building surveyors.

-  Ensuring accurate lease data is maintained on the property management system.

-  Ensure rent demands are raised accurately and on time.

-  Ensure client reports are prepared and issued to clients in accordance with agreed timescales.

-  Compliance with relevant RICS codes of practice.

-  Ensure credit control targets are met for rent and service charge collections.

-  Manage the transition of client/properties in and out of management.

-  Provide accurate insurance data to brokers for renewal and ensuring that all insurance premiums are recharged to tenants.

-  Identify opportunities for providing additional services to clients.

-  Preparation of service charge budgets.

-  Review service charge cash flows and budgets monthly/quarterly subject to client requirements.

-  Service charge year end reconciliations in accordance with RICS guidelines.

-  Conduct work in line with company standards and requirements.

-  Full utilisation of the Released Property management system.

Key requirements:

-  Previous experience in a similar role preferred.

-  Be commercially astute, understanding the importance of business targets and their impact to the practice.

-  Good knowledge of the 1954 landlord and Tenant Act.

-  Have a commitment to providing an excellent standard of client care.

-  Be IT literate with experience of using a web-based case management system.

-  Pro-active and business minded.

-  Able to communicate effectively both in writing and verbally

-  Full driving licence and access to own vehicle.

-  Strong organisational skills - able to prioritise own time and workload.

-  Ability to work well along and as part of a team.

-  Good working knowledge of Microsoft packages.

-  Candidates will need to be able to demonstrate that they can work on their own initiative without day-to-day supervision and will need organisational and diary skills to be able to repeat defined activities on a regular basis to communicate with clients and customers.
